Create a Ringg AI knowledge base from files and website URLs, configure CSV columns, test it in chat, track training status, and manage it by API.
A knowledge base is a set of files and web pages that an agent looks up during a conversation, so it answers from your data instead of from its prompt alone. Use one for policies, price lists, FAQs or per-customer records such as orders; keep short facts the agent needs on every call in the prompt. In the dashboard: Sidebar → Inventory → Knowledge base. This chapter connects an agent to your data and your systems:

What you do
Create a knowledge base (this page)
Build one from files and website URLs, configure CSV columns, test it in chat
This short video creates a knowledge base from a CSV and a web page, waits for it to finish training, and asks the test chat a question.
Creating and testing a knowledge base
1
Start
Click Create (on an empty page, under “Create your first Knowledge base”). The editor opens as Create knowledge base.
2
Name it
Enter a Name, for example Loan FAQs; it is saved as loan_faqs (“Saved as lowercase with underscores in place of spaces.”). You cannot rename it later.
3
Upload files
On the Upload files tab, drag files onto the box or click it to pick them. A CSV, TSV or PDF opens in a preview on the right; other file types upload without a preview.

4
Add web pages (optional)
On the Add URLs tab, add pages in either of two ways:
Crawl: enter a site address, such as https://example.com, and click Fetch Links. Ringg lists the pages under that address (files on the site are skipped), 20 at a time; click Load more links for the next batch.
Under Include Links, enter one page and click Add New URL.
Fetched pages appear under New URLs, each ticked already (up to the 50-URL limit); untick the ones you don’t want. Only ticked pages are added. Click a URL to preview the text Ringg extracts from it. An address without https:// gets it added.
5
Check CSV columns
For a CSV or TSV, review Column Configuration under the preview. See Structured data.
6
Save
Click Save. You see “Knowledge base creation started” and the editor reloads on the new knowledge base while it trains. Clear all removes everything you staged.
In the editor, each file’s chip goes from Processing to Indexed. On the Knowledge Base list, the knowledge base shows Training, then Ready (see Statuses). The editor opens on the uploaded file’s contents; click the back arrow to reach the test chat.
The upload tab notes: “Structured data (like CSV with clear columns) helps the AI find and match answers faster and more accurately than unstructured text.” Put records such as orders, branches or plans in a CSV with one header row, for example order_id,customer_name,mobile_number,status.When you stage a CSV or TSV, Column Configuration lists every header (“Columns are imported from your file. To change them, edit the file and re-upload.”):
Field
What you can do
Column name
Read-only, taken from the header row.
Type
String, Number, True/False or Date. Ringg pre-fills a guess from the column’s values; change it before you save.
Exact match
”Agent will look up exact keywords. Use this for specific details like Order ID or mobile numbers.” Off by default.
The settings are “Applied when you upload”. After upload, Type is fixed; only Exact match can change. Saving a change shows “Columns updated” and “Re-embedding started — the knowledge base will re-train.” ( puts it back in Training.)
Open a Ready knowledge base. With no source selected, the right panel is a test chat: “Test results will be based on processed data from uploaded files”. Type a question in Ask a question about your data… and press Enter (Shift+Enter adds a line). Each answer lists the files it came from. To hear it in a real conversation, attach it and test the agent. Click a CSV, TSV or PDF file, or an added URL, to see its contents; the back arrow returns to the chat with the conversation kept.
The list shows each knowledge base’s Name (with “Last trained: 2h ago” or “Not trained yet”), Sources and Status. Statuses update on their own while training.
The Knowledge Base list
Knowledge base status
Meaning
Training
Files are being processed, or it is re-training after a change. You cannot add sources or edit rows yet.
Ready
Processed and usable.
Partial failure
Some sources failed to process. Check each file’s status.
Failed
Processing failed.
File or URL status
Meaning
Pending upload
Staged in the editor, not saved yet.
Pending
Saved, waiting to be processed.
Processing
Being processed.
Indexed
Processed and searchable.
Failed
Could not be processed. Delete it and upload it again.
Click a row to open it. Changes need the Ready status; while it trains, Save shows “Knowledge base is still training”.
Add sources: upload files or add URLs, then Save (“Added to knowledge base”, “Processing started.”).
Replace a file: upload a file with the same name. “Replace File?” warns that “Replacing will overwrite the content.”; the old file is removed when you save.
Download or delete a file: open the ⋮ menu on its row. Deleting removes “This file and its indexed content”. Remove an added URL with its ×.
Edit rows (CSV and TSV): select the file to open its rows, 25 per page. Search them, Add row, click a row to Edit row, or select several and Delete n records. Values are validated against the column’s type.
On the list, click the trash icon on its row and confirm. Deleting removes the knowledge base with all its files, rows and column settings, and can’t be undone. It is detached from every agent automatically; remove any @ mentions of it from their prompts (Attach or detach a knowledge base).
Keep each knowledge base to one topic, such as loan_faqs or branch_locations. A focused set is easier to test, and you can attach several to one agent.
Remove outdated or conflicting documents before you upload. The agent can’t tell which version is current.
Upload text-based PDFs. A scanned PDF without searchable text gives the agent nothing to read.
Ask the test chat the questions your customers actually ask before you attach it.
.pdf, .docx, .txt, .csv (one chunk per row) and .json; anything else is read as plain text, with no column configuration

faqs: a JSON array of { "question", "answer" }
The dashboard rejects other file types (including JSON) with “Unsupported file”, and larger files with “File too large”. A workspace can have up to 100 knowledge bases and upload up to 1 GB a day.API rate limits per workspace: create 10 per hour, edit 20 per hour, get one or list all 60 per hour, delete 10 per minute.
Create Knowledge Base (POST /external/kb) takes multipart/form-data with kb_name and any of files, urls (a JSON array string) and faqs. You need an API key (Authentication).
A knowledge base created by API doesn’t appear on the Knowledge Base page, but it is listed in the agent editor’s knowledge base picker and works on calls. Knowledge bases created in the dashboard do appear in the API.The other dashboard actions map to these endpoints:

Endpoint
Add or remove sources
Edit Knowledge Base: PATCH /external/kb with kb_id and new_files, new_urls, new_faqs, files_to_remove, urls_to_remove or faqs_to_remove (plus optional new_files_metadata), as multipart/form-data
The knowledge base already holds 8 files (“Knowledge base can hold at most 8 files.”). Delete a file, or create a second knowledge base and attach both to the agent.
"No links found" after Fetch Links
The crawler found no pages under that address. Add the pages one by one with Add New URL.
